Founding Actor Launch · Phase 1

The actor lifecycle, from invitation to activation.

A complete, actor-first email program that moves prospective actors from invite to signup, then from signup to meaningful activation inside AstraLynk — paired with the Founding Actor feedback survey and the founding-member access being introduced at launch.

How the program works

One connected journey across four actor workflows

The program is built around a simple idea: actors deserve a casting process that is more transparent, protected, and easy to manage. Each stage hands off cleanly to the next.

A1
Actor Invite
Invite prospective actors to join and create a profile.
A2
Invite Follow-Up
Re-engage actors who haven’t joined after 3–5 days.
A3
Activation Drip
A first-week, 7-email sequence to reach casting-readiness.
A4
Joined, No Activation
Recover stalled signups with one clear next step.

A supporting G1 · Generic platform welcome covers any new user or early-access contact in a role-neutral way. Once an actor completes meaningful activation, they graduate into future workflows such as referral / invite-your-circle and active-user feature education.

For the initial Mailchimp launch the program is timing-based — emails send on a fixed cadence from the invite or signup date. Once AstraLynk has API access or product-event syncing, the lifecycle can evolve into a behavior-based journey that skips, adjusts, or triggers emails from actions such as profile completion, materials uploaded, rehearsal used, preferences set, or first submission.

Pilot Launch  Tone & intent

Invited, not marketed to

Founding member invitees should feel thoughtfully selected. The tone is warm, elevated, and personal — closer to receiving a special industry invitation than being marketed to. Actors should feel welcomed into AstraLynk’s first circle: a small, early group helping shape a platform built around the real-life way actors prepare, organize materials, rehearse, and stay ready when auditions move quickly.

The actor should feel
  • Invited, not marketed to
  • Seen and respected as an artist
  • Supported in the real scramble of audition preparation
  • Excited to set up their profile
  • Curious enough to rehearse and record inside AstraLynk — with a live reader or the AI
  • Included in helping shape what AstraLynk becomes next
What the pilot sells — and only this
  • Create a professional actor profile
  • Store headshots, résumés, reels, and demo reels in one organized place
  • Rehearse and record a self-tape with a live reader in the Virtual Self-Tape & Practice Room
  • Rehearse with the AI Audition Assistant when there’s no one to read with them
  • Save and send their takes wherever they need to go
  • Share feedback as part of the Founding Actor community
No submissions, opportunities, breakdowns, or matching — none of it is live yet.
★ The walk-away

What the actor should be thinking when they close the email

“We were selected.”  ·  “This was built with people like me in mind.”  ·  “My feedback matters.”  ·  “This could actually make audition preparation easier.”  ·  “I should set this up now before my next audition comes in.”

Founding member access

Two launch tiers, one founding advantage

The access being introduced at launch — for review and approval before it’s woven into the invite and onboarding messaging.

Pre-Pilot · Founding Members
Founding Actors
  • 60 days of complimentary access, starting the day they join
  • Founding-member pricing locked in for as long as they remain subscribed
  • Early access to new tools and features as they’re released
  • A direct voice in shaping the platform around what actors actually need
No actor who joins after the pre-pilot will ever have access to this benefit.
Full Pilot
Pilot Actors
  • 30 days of complimentary access to all features
  • Access begins from each actor’s signup date
  • A first-hand look at the platform during the pilot period
A clear, time-boxed trial of the full AstraLynk experience.

Make the founding benefit the survey incentive

Rather than introduce a separate reward, tie feedback directly to founding-member status. It’s compelling for actors and keeps AstraLynk free to finalize pricing later — no monetization promise is locked in prematurely.

“Complete the Founding Actor Survey and receive Founding Actor status, including early access to launch features and a preferred discount on future paid actor plans if paid subscriptions are introduced.”

Two builds, one lifecycle

What we send now vs. what we grow into

Founding-actor feedback flagged that the original sequence leaned on submissions, opportunities, and breakdowns — features that aren’t live during the pilot. So the program now ships in two builds: a tighter Pilot Launch set that only sells what actors can do today, and the full Post-Pilot sequence held as the roadmap for when casting and submission features go live.

Build now

Pilot Launch

2 invite emails, a 4-email activation drip over one week, and the S1 founding feedback survey at Day 10–14 — plus one optional materials nudge held in reserve. All about what’s live: one organized home for your materials, two ways to rehearse and record — a live reader in the Virtual Self-Tape & Practice Room, or the AI Audition Assistant when no one’s available — and founding-member access. No submissions, opportunities, or breakdowns.

When features ship

Post-Pilot · Full Functionality

The original 7-email drip, preserved below as the roadmap. Switch it on once casting opportunities, submissions, breakdowns, and role-matching are live — the copy is written and waiting.

Pilot Launch  Phase 1 · Invite to signup

Bringing actors in — selected, not marketed to

The invitation leads with the honor of being chosen, then connects to the audition-preparation scramble every actor already knows. The tone is warm, elevated, and personal — closer to a special industry invitation than a marketing email. Casting and submission language is removed entirely; the founding-member benefits are stated plainly because they are what the actor gets today.

Pilot Launch  Phase 2 · Signup to activation

A3 · Four emails, one ready week

Compressed from seven emails to four. The three post-pilot beats — role preferences / matching, the “before you submit” checklist, and the opportunities-driven habit email — are removed, because they depend on breakdowns and submissions that aren’t live yet. What’s left is a clean arc: set up → give your materials one home → rehearse → keep it a habit. Fewer sends also means less fatigue on a small founding list. The S1 feedback survey then closes the loop at Day 10–14.

Pilot Launch  Phase 3 · Founding feedback

S1 · Closing the founding loop

Sent Day 10–14, once a founding actor has had real time inside the product. It should read as a genuine invitation to shape the platform, not a generic survey request — which is why it names what we actually want to learn rather than just asking for “a few minutes of your time.”

Pilot Launch  Recovery · Future or manual

Materials nudge — optional, held for now

The one recovery email worth keeping for the pilot, rewritten per feedback: reframed from “casting teams need this” to “get your materials in one place while things are calm, ready when an audition is not.” Recommended status: hold until AstraLynk can reliably identify actors who have started a profile but have not uploaded materials.

When features ship Post-Pilot · Full Functionality

The full sequence, held as the roadmap

Everything below is the original, complete lifecycle — it leans on submissions, opportunities, breakdowns, and role-matching, so it goes live once those features do. The copy is written and ready; switch it on when the product catches up. Nothing here is deleted — it’s the destination the pilot is walking toward.

Two things to reconcile before sending any of it. This preserved copy still promises a founding rate “locked for life”, while the current pilot copy promises founding pricing “locked in for as long as you remain subscribed.” It also still offers a “Share With an Actor” CTA that the pilot invite no longer includes. Align both — and re-confirm the security, ownership, and verified-project claims in A3.3 — before this sequence is built.

Post-Pilot  Phase 1 · Invite to signup

Bringing actors in

The invite sequence is designed to make actors feel selected, welcomed, and excited to join AstraLynk as part of the founding actor community. For the initial Mailchimp launch, sends are timing-based — actors receive emails based on the day they are invited, not on product behavior.

Post-Pilot  Phase 2 · Signup to activation

A3 · First-week activation drip

A seven-email onboarding sequence that moves a new signup from “joined” to casting-ready — completing their profile, adding materials, understanding protection, trying rehearsal tools, setting preferences, preparing a first submission, and building a weekly habit. Day 4 is an intentional action window with no email.

Recovery · Future or manual

A4 · Joined, no activation

Hold A4 during the first launch unless AstraLynk can reliably identify actors who joined but did not complete a key action — otherwise it may overlap with the normal A3 onboarding. Post-launch, A4 can trigger from product events when an actor joins but has not completed profile setup, uploaded materials, used rehearsal tools, or reached the agreed activation milestone.

Supporting · Role-neutral welcome

G1 · Generic platform welcome

A role-neutral welcome for any new user or early-access contact — explaining how AstraLynk works without assuming the recipient is an actor. Send Day 0 or manually.

Founding Actor Feedback Survey

Shaping the platform before it expands

Designed to collect feedback from actors who join, build a profile, and experience the platform — capturing actor needs, onboarding friction, feature interest, monetization sensitivity, and referral potential. Recommended length: 4–6 minutes.

Client approval notes

Before building or sending these emails, AstraLynk should confirm the following so every link, claim, and benefit is locked before the Mailchimp build.

  • Final actor signup URL
  • Final dashboard URL
  • Final profile setup URL
  • Final materials upload URL
  • Final Virtual Self-Tape & Practice Room URL (live-reader rehearsal)
  • Final AI Audition Assistant URL
  • Confirmed product names + the live-reader / AI-reader distinction as actors will see them
  • Final survey URL, if using
  • Approval for “Founding Actor” language
  • Approval for “select early group” / “first circle” / “early invitation” language
  • Approval for any Founding Actor badge language
  • Approval for 60 days of complimentary access
  • Approval for founding pricing / locked-rate language — used directly in A1 and A3.1
  • Approval for early-access benefit language
  • Approval for any verified-project, access-control, or security-related claims
  • Approval for any future paid-plan discount language — only if the optional S1 survey incentive on the Program tab is used

Post-Pilot onlyFinal role preferences URL, plus product and legal approval for any claims related to encryption, watermarking, verified projects, ownership, pay-to-play visibility, role-based access, or secure access controls. None of this pilot copy makes those claims — confirm only once the Post-Pilot sequence is being built.

Recommendation

Final recommended launch build

For the first Mailchimp build, ship the Pilot Launch set — it only sells what’s live today, so nothing needs a product caveat. Hold the Post-Pilot drip until casting and submission features go live.

  1. Pilot A1 — Founding Actor Invitation (Day 0)
  2. Pilot A2 — Invite Follow-Up (Day 4)
  3. Pilot A3 — 4-email activation drip: Set up → Add materials → Rehearse → Habit (Signup Day 0 / 2 / 4 / 7)
  4. S1 — Founding Actor Feedback Survey (Day 10–14)
  5. Hold the optional materials nudge until a profile-started / no-materials segment can be reliably identified
  6. Keep Post-Pilot ready — switch on the full A1/A2/A3/A4 sequence once submissions, opportunities, breakdowns, and matching are live

What was flagged, and how we resolved it

All six comments trace to a single root: the original launch copy sold a casting marketplace — submissions, opportunities, breakdowns, “casting teams reviewing you” — that isn’t live during the pilot. The fix is one reframe applied consistently: AstraLynk at pilot is a personal audition-readiness workspace (organize your materials, rehearse anytime, founding access). We shipped that as a shorter Pilot Launch sequence and preserved every original email as the Post-Pilot roadmap.

WhereRequestResolution
Whole
program
“Change things that have to do with submitting and opportunities.” Built a separate Pilot Launch track with all submission and opportunity language removed. The submission-driven copy is preserved intact as the Post-Pilot · Full Functionality set, to switch on once those features ship.
A1
Day 0 invite
“Rewrite this one — it focuses too much on the casting that’s not pushing yet.” Rewrote the pilot invite around what’s live today: one organized home for materials + AI rehearsal + founding access. Removed discover verified casting opportunities, connect with verified opportunities, track submissions, role preferences for better-fit opportunities. Kept a single, clearly-future founding line (“first to try casting and submission features as they roll out”).
A3.5
Role Preferences
“Change this as we are not breakdowns yet.” Removed the preferences / matching email from the pilot drip entirely — it only makes sense once breakdowns and matching exist. It stays in the Post-Pilot set. The pilot drip is now four emails instead of seven.
A3.6
Before You Submit
“Same for this one.” (submission focus) Dropped the “first submission” checklist from the pilot. Its still-useful prompts (current headshot, clean resume, strong reel, rehearse) were folded into the Day 7 habit email — with no submit framing.
A3.7
Audition Rhythm
“And this one.” (opportunity / submission focus) Rewrote as a pilot habit email — “A little ready beats a lot of scrambling”: refresh materials, quick rehearsal, keep availability current. Removed review new opportunities and review submission activity.
A4.2
Add the Materials
“Rephrase — we want them to add materials, but phase it so all their materials are in one location, ready when they need it.” Rewrote from a casting-need framing (“Casting teams need more than a name”) to a readiness framing: “Get everything in one place while you have a minute… ready the moment an audition isn’t.” This is now the Day 2 pilot email and the pilot recovery nudge.

Net effect

Shorter, honest, and still on-roadmap

  • 7 activation emails → 4. Less fatigue on a small founding list; every email maps to a feature that’s actually live.
  • Invite window unchanged at Day 0 + Day 4, but the copy no longer promises casting or discovery.
  • One reframe, applied everywhere: materials aren’t “what casting needs” — they’re “your stuff, in one place, ready when you need it.”
  • Nothing thrown away. The full sequence is the Post-Pilot build, ready to switch on the day submissions, opportunities, and breakdowns go live.
